The Challenge

Golf clubs accumulate decades of decisions — board papers, strategic plans, constitutional amendments, maintenance logs — but that knowledge lives in filing cabinets, email inboxes, and the heads of long-serving committee members. When leadership changes, it walks out the door.

The result: proposals resurface years after they were already debated and rejected, new leaders spend months rebuilding contextual knowledge they should have had on day one, and governance decisions get made without reference to the precedents that should inform them.

EnvoyGolf came to us with a clear vision: make a club's entire institutional memory searchable, queryable, and accessible to the right people — without exposing sensitive data across organisations.

The Solution

We built Golf Club Advisor — a knowledge and advisory platform that lets club leadership ask natural-language questions and receive contextual answers grounded in their own records. Ask about a constitutional clause, a past proposal, a chemical register, or a board resolution — the platform finds it, surfaces it, and cites the source.

Each club gets a dedicated, isolated knowledge store — up to a terabyte of documents ingested and indexed. Role-based access controls mean the general manager sees different information to the greens superintendent. Nothing is shared across organisations, and club data is never used to train AI models.

We shipped two editions at launch: the Executive Edition for leadership, governance, and operations; and the Course Maintenance Edition for superintendents, covering chemical registers, spray schedules, equipment logs, and an agronomic knowledge base. Food & beverage, golf operations, and member services editions are in development.

The onboarding process is typically 30 days. EnvoyGolf handles all setup and configuration — clubs simply provide their key documents for ingestion.

The Outcome

Golf Club Advisor launched commercially with clubs across Australia. New committee members can get up to speed in days rather than months. Proposals that were debated years ago no longer resurface uninformed — the reasoning is on record and searchable.

The platform operates on a transparent subscription model — $250/month per edition for up to 10 users, with a one-time $1,500 setup fee. Multi-edition discounts apply as clubs expand their usage across departments.

What started as a governance tool is becoming the operational backbone for how clubs manage continuity. As more editions roll out, Golf Club Advisor is on track to cover every major function of club management.
